Summary
We are currently recruiting for a Facilities & Office Services Administrator Summer Student to work in our Edmonton location on a full-time basis from May to August 2026. This front-line role will provide a variety of services to other Spartan Business Units, on behalf of the Facilities & Office Services team. Your positive ‘can-do’ work ethic combined with strong communication and interpersonal skills will allow you to work effectively with internal and external customers.
Role and Responsibilities
- Review and redirect customer requests/sales orders through the Spartan order inbox
- Support and back-up main switchboard operation which includes answering, screening and forwarding calls in a professional, timely and accurate manner
- Greet all incoming customers and guests in a professional manner, ensuring they have an appropriate contact and are signed in and out of the building
- Administer the building visitor management system
- Coordinate incoming and outgoing mail and courier deliveries
- Coordinate and assist with set-up and clean-up for catered meetings, training and other company events
- Assist with maintenance, monitoring and ordering of stationery and office-related supplies
- Provide back-up for all Office Services positions, as required
- Filing, data entry and other office related duties
- Help plan and support internal and external (customer-facing) events, including:
- Prepare invites, nametags, registration lists, and other event materials
- Liaise with vendors, welcome guests to the event, arrange and set-up catering
Qualifications and Skills
- Minimum High School Diploma
- Exceptional customer service practices
- Computer application knowledge (MS Word, Excel, Outlook)
- Strong customer focus; professional and pleasant
- High degree of discretion and confidentiality
- Ability to lift up to 50 lbs.; may be required to lift heavier objects
